How to invite team members to your HeadshotPro organization — email invites, open invite links, and managed (on-behalf) adds.

Inviting Members

HeadshotPro provides three ways to add team members to your organization. All three methods are accessible from the "Add member" button on the dashboard or from Members → Add member. Your organization must have at least one credit before any invite method is available.

How it works

Send invite (individual email)

Use this method when you want each person to receive a personal email and handle their own photo shoot.

  1. Open the "Add member" modal and select the Send invite tab.
  2. Paste one or more email addresses into the text field. Separate multiple addresses with commas or line breaks.
  3. If your organization has sub-teams, select the team to assign the invites to.
  4. Click Invite N members. Each person receives an email with a personalized link to join and complete their shoot.

Use this method when you want to share a single link with a group — for example, in a Slack message or company email — so anyone with the link can join.

  1. Open the "Add member" modal and select the Open invite tab.
  2. Optionally configure the link:
    • Domain restriction — limit sign-ups to a specific email domain (e.g. @company.com).
    • Usage limit — cap the number of people who can use the link.
    • Expiration date — set a date and time after which the link stops working.
  3. Click Create invite link. Copy the generated URL and share it.
  4. Manage existing links from the same tab — copy, view usage counts, or revoke any link at any time.

Add on their behalf (managed member)

Use this method when you are uploading photos for a team member yourself rather than having them complete the process independently.

  1. Open the "Add member" modal and select the Add on their behalf tab.
  2. Enter the member's Name (required), Email (optional), and Job title (optional).
  3. If your organization has sub-teams, assign the member to a team.
  4. Click Add member. HeadshotPro creates a managed account and redirects you to the photo upload flow for that member.
  5. If you provided an email address, the member receives a notification when their headshots are ready and can access the results directly.

Good to know

  • Inviting members requires at least one credit in your organization's balance. The invite flow redirects you to the credits page if your balance is zero.
  • Each invite consumes one credit when the member's headshot session is created, not when the invite is sent.
  • Invite links can be revoked at any time. Revoking a link does not remove members who already joined using it.
  • Managed members (added on their behalf) do not need to create their own HeadshotPro account. If no email is provided, only the Team Lead can access their headshots.
  • If your organization has SSO with Just-In-Time (JIT) provisioning enabled, internal users with a verified company domain can sign in directly without an invite. The invite form is still available for external contractors.
  • Members can be assigned to a sub-team at invite time or reassigned later from the Members page.
  • You can remove a member from the organization from the Members page. Members with more than 3 headshot sessions cannot be removed without contacting support.
