Collect extra information from your team members during their headshot onboarding.

Custom Fields

Custom fields let you collect organization-specific information from every team member — department, region, employee ID, terms acceptance, or anything else you need on record. Members fill the fields in once and HeadshotPro carries the answers into their profile.

Navigate to Admin > Settings > Custom fields to manage your fields.

How it works

  1. Open Admin > Settings and select the Custom fields tab.
  2. Click Add custom field to open the field editor.
  3. Choose a field type:
    • Text — single-line answer up to 500 characters.
    • Dropdown — members pick one option from a list you define.
    • Checkbox — members tick a box, with an optional link (useful for terms of service, policies, or any URL you want them to review).
  4. Enter the field name (or description, for checkbox fields) — this is the label members see on the form.
  5. Toggle Mark this field as required if members must answer before they can continue.
  6. For dropdown fields, add the options one at a time. The live preview shows exactly how the field will appear to members.
  7. Click Create field. The field becomes active immediately for everyone in the organization.

Editing a field

  1. Click the pencil icon next to the field on the Custom fields list.
  2. Update the name, required toggle, or link (for checkboxes). The field type is locked once the field is created.
  3. For dropdowns, you can add new options but you cannot edit or delete options that members may have already selected. To change a saved option, delete the field and recreate it.
  4. Click Save changes.

Deleting a field

  1. Click the trash icon next to the field, or open the editor and click Delete.
  2. Confirm the action. The field is removed and any answers members had previously submitted are deleted.

Good to know

  • Only the TeamLead role can create, edit, or delete custom fields.
  • Field type is locked after creation. To switch a field from text to dropdown, delete it and create a new one.
  • Saved dropdown options cannot be edited or removed because members may have already selected them. You can add new options at any time.
  • Checkbox links must start with http:// or https://.
  • Required fields block members from finishing the personal info step of their headshot onboarding until they answer.
  • Members can update their answers at any time from their Profile page.
