Credits Overview

How team credits work: when a credit is used, what happens when someone leaves, edit credits, and how to track usage.

Credits Overview

HeadshotPro Teams runs on prepaid credits. You buy credits in advance, and one credit is used each time a team member starts a shoot. Credits never expire, so you can buy for the whole year and use them as people join.

One credit = one full shoot for one person: 40 headshots, made up of 24 generated up front and 16 edit credits for variations. Credits belong to the organization, not to a person, and are shared across all your sub-teams.

How it works

  1. An admin buys credits on the Billing page.
  2. The credits land in the organization's shared balance.
  3. A member joins through an invite or the team link and uploads selfies. When the member confirms the selfies, one credit is used and the shoot starts.
  4. The balance and a log of every credit movement are on the Billing page.
  5. When the balance reaches zero, nobody can start a new shoot until more credits are added. Automatic top-up prevents this.

When is a credit used?

  • Sending an invite does not use a credit. Neither does someone opening your team link.
  • Starting a shoot uses one credit, at the moment the member confirms their selfies.
  • A member's free redo (within 60 days) does not use a credit.
  • A new shoot you start for a member from the Members page uses one credit.
  • A member leaves before starting: nothing was used. Remove the invite and the credit stays in your balance for someone else.
  • A member leaves after starting: the credit is used. Removing the member does not return it.
  • The same person invited twice can start two shoots and use two credits. Check the Members page before you re-invite someone.

Edit credits

Edit credits are separate from team credits. Each member gets 16 edit credits with their shoot. They pay for extra variations, outfit or backdrop changes, and Expand photo. They cannot be bought separately. Under Settings → Headshots you can hold back some of each member's edit credits for admin use, or hide the edit button from members altogether.

Good to know

  • Credits never expire.
  • You get a Credits running low email when the balance drops below 3 credits. Turn it off under Settings → Notifications.
  • The Billing page shows the live balance as "N of M credits left", with the number of credits used next to it.
  • The credit log lists purchases, deductions per member, refunds and manual adjustments, newest first.
  • Volume discounts are based on your organization's lifetime credits purchased. See Purchasing Credits.
