Approving and Managing Headshots
How to review finished member headshots, mark them as handled, and download photos for the whole team
Approving and Managing Headshots
HeadshotPro does not hold delivery behind a formal approval step. Members pick their own favorite on their results page, and the result shows up in your member list. Your job is to review, download or distribute, and mark each member as handled so you always know what is left.
How it works
- Go to Members and use the Finished or No favorite filter to find members whose shoot is done.
- Click a member to open their profile. The Photoshoots tab shows every photo from their shoot.
- To download one member's profile picture, open the Actions menu on their card and select Download PFP. The file is a square PNG made with your template.
- To download every member's favorite at once, click Download favorites on Overview. HeadshotPro builds a ZIP with one folder per member, each holding the headshot and the profile picture. A progress bar shows the status and you can cancel.
- To export a spreadsheet, click Export on Overview or Members. The CSV lists team name, email, model title, status and finished date for every member.
- When you have handled a member (shared the photo, updated the directory), open Actions > Mark as actioned. The member moves to the Actioned filter.
- To undo, open the same menu and click Actioned again.
Good to know
- "Actioned" is a marker for your own workflow. It changes nothing for the member.
- If a member picked no favorite, use Actions > Pick a photo to choose one for them, then Generate PFP.
- If the profile picture failed, the member shows under PFP failed. Use Actions > Generate PFP to run it again.
- The ZIP from Download favorites names each member folder by email and title. Photos that fail to download are listed in the dialog and do not stop the rest.
- To send a member a direct link back to their results, select Actions > Send access link. HeadshotPro emails them a sign-in link.
- Need a different size for a badge system or website? Set custom output sizes under Settings > Headshots. See Viewing Team Headshots.
