Viewing Team Headshots

Track every member's shoot from Overview and Members, open their photos, and download headshots in the sizes your organization needs

Viewing Team Headshots

Two pages show you where every member stands. Overview gives you the numbers and the queue of people who need a nudge. Members is the full list, with filters, search, and an action menu per person. From either page you open a member's photos, download their favorite, and start follow-up actions.

How it works

  1. Open Overview in the left menu. The header shows your credit balance, an Export button and Add member. Four tiles show Total members, Finished shoots, In progress and Pending invite. Click a tile to filter the member list below it.
  2. Use the Needs attention block to see members who have not responded after several reminders.
  3. Open Members for the full list. Switch between the photo grid and the table with the view icons in the toolbar. Your choice is saved in the browser.
  4. Filter with the tabs above the list. A tab only appears when it has at least one member:
    FilterWhat it shows
    AllEvery member
    FinishedProfile picture published
No favoriteShoot is done, member has not picked a favorite yet
Action requiredFavorite picked, profile picture not generated yet
PFP failedProfile picture generation failed; use Generate PFP to retry
OutdatedProfile picture was made with an older template version
    GeneratingHeadshots are being created
    InvitedInvite sent, not accepted
    JoinedAccepted, shoot not started
    DeletedShoot deleted
ActionedYou marked this member as handled
  5. Search by name or email. Search starts after two characters. Sort by Name A-Z, Latest or Actioned last.
  6. If your organization has teams, pick one in the team selector to scope the list and the counts.
  7. Click a member card or row to open their profile. The Photoshoots tab shows their results and status. The Activity tab shows the timeline from invite to finish. A Voting tab appears when the member has shared photos for votes.
  8. Open the Actions menu on a card or row to download their profile picture, pick a photo for them, start a new shoot, send an access link, mark them as actioned, assign them to a team, or remove them.
  9. Click Export to download a CSV with team name, email, model title, status (Finished, Actioned, Joined, Invited) and finished date for every member.

Custom output sizes

Team headshots are landscape (5:4) and at least 2048 pixels wide. If your website, badge system or directory needs a fixed size, define it once and everyone downloads in that size.

  1. Go to Settings > Headshots and find Custom output sizes.
  2. Turn on Enable custom output sizes.
  3. Click Add custom size. Enter a width and height in pixels (1 to 4000). Optionally set a maximum file size in KB; leave it empty to skip compression.
  4. Click Save.

Members and admins then see each size as a download option on every photo. Download all custom sizes on a results page downloads one copy of the photo per size.

Expand photo

If a headshot sits too tight in the frame, use Expand photo in the edit panel. It adds space around the person so the photo fits LinkedIn and other square crops. Expand photo uses one edit credit, like every other edit.

Good to know

  • The old Headshots page redirects to Overview. There is no separate headshots dashboard anymore.
  • Your headshots in the left menu shows your own shoots, not your team's.
  • Members with a Managed badge have no account of their own; you created them and upload for them. Members without a real email show as (no email).
  • Any headshot can be downloaded, not only the favorite. Open the member's Photoshoots tab and use the actions on a photo.
  • The profile picture download is a square PNG made from the member's favorite and your template. See Managing Templates.
  • A Missing people? card appears when shoots exist without a member record. Open the shoot and use Actions > Convert to account to link them.
  • The list caches results. A Last updated line at the bottom tells you when it was refreshed.
