Managing Members
Find any member, see where they are in their shoot, and take action from the Members page.
Managing Members
The Members page is the central list of everyone in your organization. From here you see each member's status, search and filter by stage, open a profile, and take action: start a new shoot, send a link, pick a photo, assign a team or remove someone.
Open Members in the left menu.
How it works
- The page loads every member, newest first. Switch between the photo grid and the table with the view icons in the toolbar.
- Type a name or email in the search field. Search starts after two characters.
- Use Sort to order by Name A-Z, Latest or Actioned last.
- Use the filter tabs to narrow the list to one stage. A tab only shows when it has at least one member:
Filter What it shows All Every member Finished Profile picture published No favorite Shoot done, no favorite picked yet Action required Favorite picked, profile picture not generated yet PFP failed Profile picture generation failed Outdated Profile picture made with an older template version Generating Shoot is processing Invited Invite sent, not accepted Joined Accepted, shoot not started Deleted Shoot deleted Actioned Marked as handled by an admin - Open the Actions menu on a card or row. The Photos section has New shoot, Pick a photo, Generate PFP, Rerender PFP, Download PFP, Change PFP template and Embed, depending on the member's status. The Member section has Send access link, Mark as actioned, Assign team, Edit details (managed members) and Remove.
- Click a member to open their profile. It has a Photoshoots tab (results and status), an Activity tab (timeline from invite to finish) and, when relevant, a Voting tab.
- The profile's action menu adds Copy invite link (valid 24 hours), Continue shoot and Send reminder for members who have not finished. Reminders have a cooldown, so you cannot send them back to back.
Common situations
- A member cannot sign in. They must use the email the invite went to. Send them a fresh link with Send access link or Copy invite link, or point them to the sign-in help in Troubleshooting Login.
- The member already has a personal HeadshotPro account on that email. An email can belong to one account only. The invite does not connect to an existing individual account. Contact support with the member's email, and support links the account to your organization. Personal headshots stay on the personal account; they cannot be moved into the team.
- Wrong email on the invite. Remove the pending invite and invite the correct address. If the member already joined, contact support to change the email.
- Someone is missing from the list. Use the search field first. If a shoot exists without a member record, a Missing people? card appears at the end of the grid. Open the shoot and use Actions > Convert to account.
- A member needs a redo. See Issuing Retries.
- You need to delete the whole organization. There is no self-serve button once your organization has more than one member. Email support from the owner's address. Deletion is permanent and removes all member data. Tell your members first; the product does not warn them.
Good to know
- A green Done badge on a card means the member is marked as actioned.
- A teal badge in the top-right of a card shows the member's team.
- Members with a placeholder email show as (no email). These are managed accounts you created and upload for.
- A Pending badge next to a name in the table means an email change is waiting for confirmation.
- Removing a member who has more than 3 shoots is not possible from the dashboard. Contact support.
- The list caches results. A Last updated line at the bottom shows when it was refreshed.
