What to expect while a member's headshots generate, and what to do when a shoot looks stuck
Headshots Still Preparing
After a member submits their selfies, HeadshotPro generates their headshots in the background. Most shoots are ready within a few minutes. On busy days it can take up to an hour. The member gets an email when the photos are ready, and the results page updates by itself.
How it works
- The member uploads selfies and submits the shoot. Their results page shows "Your photos are being generated".
- Go to Members and use the Generating filter to see every shoot in progress. The member's Activity tab shows when they submitted.
- When the photos are ready, the member moves to No favorite (shoot done, favorite not picked) and gets a "headshots ready" email, if that notification is on.
- If the shoot shows Generating for more than a few hours, contact support with the member's email. Support restarts the shoot and the member gets a new email when it is done.
Good to know
- Photos that do not look enough like the member are removed on purpose. The member gets extra edit credits to make replacements. This is not a stuck shoot.
- If selfies fail the quality check, the member sees the reason on the upload step and must send new ones. Share Quality Tips with them.
- A member who says they got no email can open their results page directly. Ask them to sign in with the email the invite went to, or send them an access link from Members > Actions > Send access link.
- Company mail filters sometimes delay or block HeadshotPro emails. Ask IT to allow
headshotpro.comandnoreply@headshotpro.com. - You can switch the member "headshots ready" email off under Settings > Notifications if you want to review results first.
