Roles and Permissions
Understand the owner, admin and member roles, and how to add or remove admins.
Roles and Permissions
HeadshotPro uses three roles in an organization: Owner, Admin and Member. A fourth label, Managed, marks members you created directly and upload for. There is no read-only or viewer role.
How it works
Role overview
| Role | What it can do |
|---|---|
| Owner | The account that created the organization. Full admin access, plus ownership transfer and organization deletion. Cannot be removed or demoted by other admins. |
| Admin | Full access to the admin panel: members, invites, backdrops and outfits, settings, templates, billing and invoices. Admins see every member's photos. There is no limit on the number of admins. |
| Member | Signs in, completes their own shoot, and sees their own results. No admin panel. |
| Managed | A member without an account of their own. You upload for them. Same permissions as a member. |
Add an admin
- Go to Settings > Security.
- On the Admin management card, click Add new.
- Enter the person's email and click Add admin.
What happens next:
- Already a member of your organization: their role changes to admin right away and they get an email.
- Has a HeadshotPro account outside your organization: they get an invite email and must accept it.
- No account yet: they get an invite email, create an account, and join as an admin.
Remove an admin
- Go to Settings > Security.
- Find the admin in the list, open their role dropdown and select Remove as admin.
- Confirm.
They become a regular member. They keep their account and their headshots.
Revoke a pending admin invite
On the Admin management card, click Revoke next to the pending invite.
Good to know
- Adding someone as an admin does not give them a headshot shoot. If an admin also wants headshots, invite them as a member too, from Overview > Add member.
- A member who should invite others needs the admin role. Members cannot invite.
- The owner and every admin can see all member photos, favorites and selfies. Members cannot keep their photos private from the admins.
- You cannot remove yourself as an admin, and you cannot demote the owner.
- To hand the organization to someone else, the owner uses Transfer ownership under Settings > Security. See Security Controls.
- Role changes are written to the organization activity log.
- When a member is removed from the organization, their role resets to a plain user. They keep their account. See Removing Members.
