How to accept your team's invitation and get access to HeadshotPro

Accepting an Invite

Your team admin sends you an invitation to create your AI headshots through HeadshotPro. There are two invite flows depending on how your admin set things up: a direct personal invite sent to your specific email address, or a bulk/generic invite link the whole team shares.

How it works

  1. You receive an email from HeadshotPro with a personal access link. The link is valid for 2 hours from the time it was sent.
  2. Click the link. HeadshotPro validates it and signs you in automatically — no password required.
  3. You land on the team member onboarding screen, which confirms your organization's name and lets you start your photo shoot.
  4. If your link has expired, enter your work email on the expired-link screen to request a fresh one.
  1. Your admin shares a link of the form /organization/join/{inviteId}. Open it in your browser.
  2. Enter your work email address. If your organization restricts access to specific email domains, your address must match.
  3. HeadshotPro checks whether you already have an account:
    • No account — an access link is emailed to you. Follow it to sign in.
    • Existing individual account — you are prompted to convert that account to a team member account. Any existing models on your individual account must be removed before conversion proceeds.
  4. Once signed in, you land on the team member onboarding screen.

Returning to your account

If you already completed onboarding and need to get back to your headshots, go to /team-access and enter your work email. HeadshotPro sends a fresh magic link to your inbox.

Good to know

  • Invite links in the direct flow expire after 2 hours. Request a new one any time by entering your email on the expired-link page.
  • Generic bulk invite links can have a usage limit set by your admin. If the limit is reached, contact your admin for a new link.
  • You must use the same email address your admin invited. Using a different address on a personal invite will not work.
  • If your organization uses Single Sign-On (SSO), entering your work email on /team-access redirects you to your company's identity provider instead of sending a magic link.
  • Accepting an invite sets your account role to TeamMember. If you were previously a TeamLead of another organization, accepting removes you from that team.
