Remove a member from your organization and understand what happens to their data.

Removing Members

Removing a member from your organization immediately revokes their access and permanently deletes their headshot data. This action cannot be undone.

How it works

From the Members list

  1. Go to Admin > Members.
  2. Find the member you want to remove.
  3. Open the Actions dropdown on their card (grid view) or row (list view).
  4. Select Remove.
  5. Review the confirmation dialog, then click Remove Member.

From a member's individual profile

  1. Go to Admin > Members and click the member's name or card.
  2. Open the Activity tab on their profile page.
  3. In the Actions panel, click Remove Member.
  4. Review the confirmation dialog, then click Remove Member.

What gets deleted

When you confirm removal, the following happens immediately:

  • The member loses access to the organization and all organization resources.
  • Their AI headshots and photo shoots are permanently deleted.
  • Their profile picture is deleted and any embed using it stops working.
  • Any pending invite links for that member are invalidated.

The member's personal account is not deleted — they keep their login credentials and can sign up to another organization or use HeadshotPro individually. Their role resets to a plain user.

Exception: Members whose accounts were created anonymously (managed accounts with no real email) have their account fully deleted from the system.

Constraints

  • You cannot remove yourself (the currently logged-in Admin).
  • You cannot remove the organization Owner.
  • Bulk removal is limited to 10 members at a time.
  • Members with more than 3 active AI models cannot be removed through the Admin panel. Contact support to remove these accounts.
  • There is a rate limit of 100 removal requests per hour per Admin.

Good to know

  • Removal is all-or-nothing — either everything succeeds or nothing changes.
  • Profile picture data (stored images) is cleaned up shortly after the member record is removed.
  • If a removed member was an Admin, their admin role is also revoked as part of removal.
  • The removal is logged in the organization activity log, including which models were deleted.
