How the credit system works for teams: what credits are, how they're consumed, and how to track usage.

Credits Overview

HeadshotPro runs on a prepaid credit system. There are no recurring subscriptions for headshot generation — you buy credits in advance and spend them as your team submits photoshoots. Credits never expire, so you can buy in bulk and deploy them as new hires join.

One credit equals one AI headshot photoshoot for one team member. When a member submits their photos, one credit is deducted from your organization's balance. If your organization is on the Lite package, each submission costs 0.25 credits instead and generates a reduced set of photos.

How it works

  1. The team admin purchases credits from the Billing page at /app/admin/billing/credits.
  2. Credits are added to the organization's shared balance immediately after payment.
  3. When a team member completes a photoshoot submission, one credit (or 0.25 credits on the Lite package) is consumed from the balance.
  4. The credit balance and a full log of every credit movement is visible on the Billing page under the Usage and Logs sections.
  5. When the balance reaches zero, new photoshoot submissions are blocked until more credits are purchased.

Good to know

  • Credits belong to the organization, not to individual members. Any member with a pending invite will hold a credit in reserve until they complete their shoot.
  • The Credits left counter shows the real-time available balance. Credits used is calculated from the sum of all negative credit log entries.
  • Invites pending shows how many team members have been invited but have not yet completed their shoot. Each pending invite corresponds to a reserved credit.
  • A full audit trail of every credit movement (purchases, deductions, manual adjustments) is available in the Logs table on the Billing page. Entries are shown in reverse chronological order.
  • Low-credit email notifications are enabled by default. You can configure notification preferences under Settings.
  • Volume discounts apply automatically based on your organization's total lifetime credits purchased, not just the current purchase. Discounts range from 20% (6–9 total credits) to 60% (200+ total credits).
  • If your organization has fixed pricing negotiated with the sales team, that pricing overrides the standard volume discount tiers.
