Enforcing Consistency
HeadshotPro gives you several controls to ensure every headshot your team produces stays on-brand. The degree of control ranges from soft guidance (curating an approved pool) to hard enforcement (fixing backdrop and outfit combinations). Choose the approach that fits your organization's standards.
How it works
Approach 1: Curate a narrow backdrop and clothing pool
The simplest way to enforce consistency is to approve only the options you want members to use.
- Go to Admin > Backdrops and select only the backdrops that reflect your brand environment. Selecting 1–2 backdrops gives every team member the same shooting context.
- Go to Admin > Clothing and approve only the outfits that match your dress code. Approving a single outfit per gender means every member wears the same look.
- Members see only these options during their shoot. They cannot access unapproved backdrops or outfits.
Approach 2: Lock backdrop variety off
The Force backdrop variety toggle controls whether members must use a different backdrop for each of their 4 shoot slots.
- Toggle off (default): Members can select the same backdrop multiple times. Use this when you want every member's primary headshot to use the same background.
- Toggle on: Members must pick a different backdrop for each slot. Use this for variety within an approved pool.
To change this setting, go to Admin > Backdrops and use the toggle in the selected backdrops panel. The toggle is only available when 4 or more backdrops are selected.
Approach 3: Remove the backdrop slot limit (standard mode)
In standard mode, you can enable Allow free backdrop selection to let members pick freely from the approved pool rather than following fixed slot assignments. Disable this toggle to keep strict control over which backdrops are used and how many times each one appears.
Approach 4: Use fixed combos
Backdrop and clothing combos are the strictest consistency tool. A combo locks a specific backdrop to a specific male outfit and a specific female outfit. Members assigned to a combo workflow have no choice in the matter — the combination is predetermined.
- Go to Admin > Combos.
- Build 8 combos by selecting a backdrop, a male outfit, and a female outfit for each.
- Save the combos.
Once 8 valid combos are saved, bulk upload is enabled and members in this workflow follow the preset combinations exactly.
Approach 5: Per-team overrides
If different departments or offices have different brand standards, use team-level overrides to maintain consistency within each group without affecting the whole organization.
- On the Backdrops or Clothing page, switch the Configure for dropdown to a specific team.
- Set the backdrop and clothing selection for that team.
- Save. The team will use these settings instead of the organization defaults.
- Teams without custom overrides automatically inherit the organization-level settings.
- To realign a team with the organization standard, click Reset to organization defaults on that team's configuration.
Good to know
- All consistency controls are Team Lead-only. Members cannot change backdrop pools, clothing approvals, combo configurations, or team overrides.
- Restricting members to a single backdrop and a single outfit per gender is the most reliable way to produce a uniform team headshot library. However, it also reduces personalization — members cannot tailor results to their preference.
- Combo configuration requires exactly 8 combos. Fewer than 8 disables bulk upload.
- Per-team overrides are independent for backdrops and clothing. A team can have a custom backdrop selection while still using organization-default clothing, or vice versa.
- Toggling Force backdrop variety off automatically when fewer than 4 backdrops are selected. The toggle re-enables manually once you add enough backdrops.
