How to give a team member another attempt at generating their headshots
Issuing Retries
If a member's headshots came out poorly — bad lighting, wrong expressions, low-quality source photos — you can issue them a retry. A retry resets their shoot and notifies them by email to start over. Each member is entitled to one free retry.
A retry resets the member's model to onboarding status so they can re-upload photos and generate a new set. The member retains any unused retry credits.
How it works
- Go to Headshots (
/app/admin/headshots) and find the member in the Finished photo shoots section. - Open the Actions dropdown on the member's card and select Give retry.
- A confirmation modal opens explaining what will happen:
- The member's shoot will be reset to onboarding.
- The member receives an email notification with a link to retry their shoot.
- Click Delete results and retry to confirm. The dashboard refreshes and the member returns to the In Progress state.
- If the member already has a pending retry that they have not acted on yet, the modal shows a notice instead of the confirmation button. Instruct the member to log in and start their photo shoot — no further admin action is needed.
The retry option does not appear in the Actions menu for members who have exhausted their retry credits.
Retrying a deleted shoot (managed members only)
For Managed members (members without an individual HeadshotPro account, created and controlled directly by the admin), a shoot that has been fully deleted can be restarted using a separate flow:
- Locate the member in the Deleted photo shoots section of the dashboard.
- Click the Restart shoot button on the member's card. This creates a new onboarding model for the member and sends them a fresh access link.
This is only available for managed members who have no active or in-progress shoot at the time.
Retry eligibility rules
- Each member can receive one retry per shoot.
- Retries are only available for shoots completed within the last 60 days. Shoots older than 60 days cannot be retried.
- If the member still has retries remaining, the retry resets the model without counting against the one-retry-per-member limit.
Good to know
- After you confirm a retry, HeadshotPro sends the member an email with the subject "HeadshotPro | Please retry your shoot" and a direct action link.
- Tell the member explicitly to upload higher-quality photos — better lighting, plain background, varied expressions. The retry notification email includes this prompt.
- A retry does not consume an additional credit from your organization's credit balance.
- If you need to verify whether a retry has already been issued for a member, check the member detail page at
/app/admin/members/:id.
