Uploading Your Photos

After accepting your invite, HeadshotPro walks you through a multi-step upload flow. The whole process takes up to 10 minutes. Your admin may have pre-configured the headshot styles, so your choices on style selection may be narrower than the individual flow.

How it works

1. Intro screen — HeadshotPro shows three reminders: the process takes up to 10 minutes, you should look rested and dressed for the headshots you want, and daytime or a well-lit room gives the best results. Click "Ok, I am ready" to continue. There is a brief 3-second cooldown before the button activates.

2. Upload photos — Upload a minimum number of photos of yourself. You have three options:

   • Scan a QR code to capture selfies with your phone (recommended). Photos sync to this screen automatically.
   • Upload manually from your device.
   • Import from Dropbox.

   Upload 1 to 3 photos plus an optional full-body photo. A photo requirements guide is available on this screen. Once you have at least one accepted photo, a "Continue" button activates.

3. Personal info — Fill in your name, job title, eye color, and gender. As a team member, you enter your first and last name separately if your account does not already have a name on file. This information guides the AI and is deleted after your headshots are generated.

4. Select styles — Choose the headshot styles and clothing combinations you want. Your organization's admin pre-configures the available styles, so the options shown reflect what your team has set up. HeadshotPro also pre-selects additional styles on your behalf to fill out your shoot, up to a maximum of 8 total styles for team members.

5. Confirm — Review your photos, personal info, and style selections. You can go back and change any section. Check both confirmation boxes (terms and conditions, and confirmation that your photos are your best), then click "Submit my photos."

6. Waiting — After submission, you land on a waiting screen. HeadshotPro generates your headshots in the background; this typically takes up to 2 hours. The page updates automatically and redirects you to your results when generation finishes.

Good to know

• The invite link used to access the upload flow expires after 2 hours. If you close your browser and come back, return to /team-access and request a new access link with your work email.
• Your organization may use a streamlined upload flow instead of the multi-step flow described above.
• You can only complete one photo shoot per invite. If you try to submit again after already completing a shoot, HeadshotPro blocks the submission and tells you to contact your admin for a retry.
• If your organization runs out of credits while you are in the middle of the flow, submission is blocked. Your data is saved and you can continue once your admin purchases more credits.
• Full-body photos may be required by your organization. If so, the minimum full-body photo count is enforced separately from regular photo requirements.
